Confidential Client — a project to unify sales, inventory and point-of-sale processes for a multi-store retail business.
The client operated several physical stores without a unified data system between them. Each location kept its own inventory records independently.
Mismatched stock levels between stores, manually assembled sales reports, and a disconnected point-of-sale system were the core challenges.
Sales, receiving and stock-taking processes at each store were observed, interviews were conducted with responsible staff, and existing reporting templates were reviewed.
Sales were recorded at the POS terminal, but stock levels were tracked in a separate spreadsheet and reconciled manually at the end of each day.
The proposal was to connect all stores to a single Odoo database and synchronize POS with the Sales and Inventory modules in real time.
The POS → Sales → Inventory chain operated through a single warehouse structure; Accounting entries were generated automatically from sales documents.
Implementation was rolled out in phases: piloted at one store first, then extended to the remaining locations, with staff training at each stage.
Sales, return and stock-count scenarios were tested at each stage, with user acceptance testing (UAT) carried out by store staff.
The team now has real-time visibility into stock levels, and manually assembling daily reports is no longer necessary.
